Using QuickBooks Database Server Manager
Step Action Description
Step 1 Install QuickBooks Database Server Manager Ensure that QuickBooks Database Server Manager is installed on the server:
  • Run the QuickBooks Desktop installer.
  • Select Custom and Network Options and choose Install Database Server Only.
  • Complete the installation process.
Step 2 Open Database Server Manager Open QuickBooks Database Server Manager:
  • Go to the Windows Start menu.
  • Search for QuickBooks Database Server Manager and open it.
Step 3 Scan Folders Use the Database Server Manager to scan for QuickBooks company files:
  • In the Database Server Manager window, click the Scan Folders tab.
  • Click Browse and select the folder where your QuickBooks company files are stored.
  • Click OK and then click Scan.
  • The server will scan the folder and display the QuickBooks files that are ready to be hosted.
Step 4 Monitor Server Status Check the status of the QuickBooks Database Server:
  • Click the Server Status tab to check if the server is running.
  • This will show the status of the QuickBooks services for multi-user mode.
Step 5 Update Database Server Ensure the QuickBooks Database Server Manager is up to date:
  • Go to the Updates tab in the Database Server Manager.
  • Check for any available updates and install them.
  • Restart the server if necessary after updating.
Step 6 Configure Firewall and Network Settings Make sure the firewall allows QuickBooks communication:
  • Ensure that the Database Server Manager and QuickBooks are added as exceptions to the firewall.
  • Open the ports required by QuickBooks:
    • QuickBooks 2024: Port 8019
    • QuickBooks 2023: Port 8018
    • QuickBooks 2022: Port 8017
Step 7 Set Up Multi-User Mode Enable multi-user mode for QuickBooks Desktop:
  • On the workstations, open QuickBooks and go to File > Switch to Multi-User Mode.
  • This allows multiple users to access the same QuickBooks company file simultaneously.
Step 8 Restart QuickBooks Services If you encounter issues, restart the QuickBooks-related services:
  • Press Windows + R and type services.msc.
  • Find and restart QuickBooksDBXX (XX is your QuickBooks version year) and QBCFMonitorService.
