Troubleshooting Multi-User Mode in QuickBooks Desktop

Step Action Description
Step 1 Check Hosting Settings Ensure that multi-user hosting is enabled only on the server.
  • Go to File > Utilities.
  • On the server, select Host Multi-User Access.
  • On the workstations, ensure Stop Hosting Multi-User Access is selected.
Step 2 Check QuickBooks Database Server Manager Ensure that the QuickBooks Database Server Manager is installed and running on the server.
  • Go to the Windows Start menu and open QuickBooks Database Server Manager.
  • Use the Scan Folders feature to add the folder where your company files are stored.
Step 3 Verify Folder Permissions Make sure that all users have the correct permissions to access the folder where the QuickBooks company files are stored.
  • Right-click the folder and select Properties.
  • Go to the Security tab and ensure that Full Control is granted to all users who need access.
Step 4 Check Firewall Settings Ensure that your firewall or antivirus software is not blocking QuickBooks.
  • Go to Control Panel > Windows Defender Firewall.
  • Add QuickBooks to the list of allowed apps through the firewall.
  • Add specific ports used by QuickBooks (port numbers depend on your version).
Step 5 Restart QuickBooks Services Restart QuickBooks-related services on the server.
  • Open the Run window and type services.msc.
  • Find and restart services like QuickBooksDBXX (XX being the version year) and QBCFMonitorService.
Step 6 Verify Hosting Mode Make sure hosting mode is set correctly on both the server and workstations:
  • On the server: Hosting should be ON.
  • On the workstations: Hosting should be OFF.
Step 7 Test Multi-User Mode After verifying all the steps above, test multi-user mode:
  • Open QuickBooks on the server and a workstation.
  • Go to File > Switch to Multi-User Mode on a workstation.
  • If everything is configured correctly, the company file should open in multi-user mode without issues.
Step 8 Use QuickBooks File Doctor If multi-user mode still isn’t working, use QuickBooks File Doctor to diagnose and repair issues:
  • Download and install QuickBooks Tool Hub.
  • Open Tool Hub and run the QuickBooks File Doctor.
